Velaire Wellness grew to eight premium locations — but its operations lived in a dozen disconnected tools. NICKSON TECH designed and built Velaire Atlas, a single platform where bookings, members, memberships and payments finally share one source of truth.

A premium, multi-city wellness operator whose growth had outpaced its internal systems — with revenue tied to two things software could protect: specialist utilisation and membership retention.

The challenge

The same customer, in eight different systems.

Each location ran its own calendars, spreadsheets, chat threads, membership lists and payment dashboards. Every coordination task became manual re-entry, and every management question meant assembling a report by hand.

One availability model, so double bookings can't happen.

Reception works from a single day view per location: specialists as columns, real appointments in place, breaks and holds respected. When a slot is already taken, Atlas doesn't warn after the fact — it never offers it. The booking is written as a transaction against a held slot, so the conflict is prevented at the data layer.

Every member's history follows them to any location.

One record holds visits, preferences, care notes, membership and payments — the same whether the member books in Berlin, Amsterdam or Paris. Specialists get continuity of care; the brand keeps its premium, personal feel at every door.

A utilisation heatmap shows every specialist's week across the network at a glance: quiet days worth filling, and people running at capacity who need cover. Idle paid hours become visible — and recoverable.

Payments that reconcile themselves.

Every captured payment is matched to its booking or membership line as it happens through a hosted, tokenised provider — so finance reviews only the handful of exceptions instead of rebuilding the month by hand. Month-end close goes from days of spreadsheet work to a short exception list.

Product · Self-service

Members book themselves — on the same live model.

The Velaire Member app writes to exactly the same availability the front desk uses, so self-service never creates a conflict. Unavailable times simply don't appear, membership credits apply automatically, and reception is freed from routine phone bookings.

Key decisions

Judgement, not complexity for its own sake.

A few decisions did most of the work — each chosen because it fit the business, not because it sounded impressive.

One shared availability model

Double bookings were a data problem, not a UI problem. Making every booking a transaction against a single held slot means conflicts are structurally impossible — across reception, other locations and the member app alike.

A modular monolith, not microservices

Eight locations and a small team don't need a distributed system. One well-structured deployable is cheaper to run, easier to reason about and faster to change — with clear internal modules ready to split later only if scale demands it.

Hosted, tokenised payments

No raw card data should ever touch Velaire's systems. A hosted provider keeps PCI scope minimal, while automatic matching against bookings and memberships makes reconciliation a by-product rather than a monthly project.

Deliberately no AI

Utilisation and reconciliation are deterministic. They're solved best with a clear data model and rules an auditor can follow — not a model that has to be explained. We kept the system honest and predictable.
